Booking and cancellation policy for 2025/26. Applicable for all trip to Nepal, Tibet, Bhutan & India

An unstable global situation, such as the unexpected spread of pandemics, the war between Russia and Ukraine, and Israel’s war on Gaza and Iran, has created uncertainty in the travel sector. Therefore, it is time to have stronger insurance covering helicopter evacuation, medical assistance, trip cancellation, and interruption eventualities before paying and travelling abroad. Considering the global situation above, we have introduced a flexible booking and payment policy.

Booking and payment terms

  1. You can book and confirm your tour by sending a scanned copy of your passport, a recently taken photograph (high res) and making a confirmation deposit of 25% of the tour price. However you can make a full payment at the time of booking, if you want, for your convenience and saving bank charge.
  2. Once you have booked, we will send you the invoice and confirmation letter.
  3. The full payment should be done by 60 days prior to the trip starting date.
  4. Any local payments by credit card, there will be 3% – 5% extra.
  5. We take bookings as early as 2 years in advance.
  6. The payment should be deposited to our company’s bank account. The bank charge or fees to be borne by the sender.

Trip Cancellation

The following cancellation fees get applied to cover the administrative charges and other expenses in dealing with the booking and cancellations.

  1. Cancellation after the confirmation – 25% of total invoice
  2. 60 – 45 days prior to the trip starting date – 40% of total invoice
  3. 44 – 30 days prior to the trip starting date – 50% of total invoice
  4. Less than 30 days prior to the trip starting date or trip interruption after arrival or during the trip  – 100% of total invoice

Postponing the trip

If you postpone your trip dates at least 45 days before the trip starting date within the travel year, the cancellation will not apply. However, if you postpone the travel dates to the following year, there will be an extra charge for the trip confirmation deposit (25% of the total trip cost) per person, as given above. If the cancellation occurs after the postponement of the date, then the Trip Cancellation term and conditions get applied again. Cancelled persons/groups are not replaceable by another person/group.
